AI for Delivery Paperwork, Inbound Orders, and Dispatch
Serving Lowcountry Industrial Operations
We build automation workflows for warehousing, distribution, freight and drayage, manufacturing and fabrication, and the service firms supporting them. Our service area includes North Charleston, Charleston, Hanahan, Goose Creek, and Berkeley County, SC.
Processing Inbound Orders and Driver Paperwork
Bills of lading, packing lists, proofs of delivery, rate confirmations, and driver paperwork often arrive as scans, photographs, and attachments that are typed into systems by hand. We automate this process so delivery documents are read into the fields a system needs, with a defined behaviour for missing or unreadable fields.
Scans, faxes, sideways pages, and document stamps are processed as ordinary input. Dispatch orders that arrive as email prose are turned into structured records before scheduling. Inbound orders are read from email and written to the scheduling system, with uncertain items sent to a person.
Industry-Specific Document Matching
Different operations require specific matching rules. A drayage load combines the container number, chassis, appointment window, and delivery order into one load record. At a receiving dock, packing lists are compared with expected quantities, and differences are queued.
For manufacturing and fabrication, mill certificates, test reports, and purchase order revisions are checked for agreement before release. For freight forwarders, a shipment file is matched across invoices, packing lists, and arrival notices from several parties.
Exceptions and Systems Integration
Rate confirmations are matched to the load they belong to, and unmatched references are queued. Exceptions such as short shipments, damaged pallets, missing pages, and duplicate references are routed to a person with the reason stated.
Dispatch steps link the transport system, the warehouse system, and the customer portal, with every run logged. Approved records are written into the WMS, TMS, or accounting system, with defined handling for duplicate documents. Where EDI already carries a trading partner, it is left unchanged.
Continuous Operations and Answer Desk
Shift-based work produces paperwork overnight and at weekends. A stopped automation raises an alert so the workflow is not disrupted. We also provide an answer desk that responds to questions about customer routing rules and handling procedures, naming the source document for every answer.
Implementation, Security, and Billing
Work starts with a site meeting and a sample of a few hundred real documents, including the difficult customer formats. Extraction accuracy is measured against documents with known correct values. Line-item extraction across page breaks and subtotals is usually the hardest part of the schedule.
The existing process runs alongside the new one until it is clearly unnecessary. Documents stay in storage the company owns, and processing runs in its own cloud account.
Work is often done alongside an in-house IT team, which keeps the accounts and access, and the build is handed over fully documented. Cost tracks pages and tokens, and reporting is provided per workflow.
