Microsoft 365 plans compared

Every business plan side by side: what each one includes, and what a seat costs. Prices are per person, per month, on an annual commitment.

Who is this seat for?THE FIRST QUESTIONAt a desk all dayTHE PLANS ON THIS PAGEOn a shift or a siteTHE FRONTLINE PLANSAlready on a planTHE ADD-ONS SIT ON TOPTHREE SHELVES, NOT ONE LADDER

The three tables below are not one ladder. Which of them a seat belongs in is settled before any price matters, and the answer is usually obvious from where the person works.

Every plan, and what a seat costs

The range runs from a mailbox on its own up to a plan that also manages the computers.

PlanPer person, per monthWhat it is
Exchange Online Plan 1
$5

A mailbox and nothing else.

Microsoft 365 Business Basic
$9

Email, Teams and the browser versions of the Office apps.

Exchange Online Plan 2
$10

A larger mailbox with a 1.5 TB archive.

Microsoft 365 Apps for business
$13

The installed Office apps without email.

Microsoft 365 Business Standard
$18

Email plus the installed Office apps.

Microsoft 365 Business Premium
$28

Everything in Standard, plus the security and device management.

Prices are for an annual commitment, billed monthly.

Staff who are not at a desk

Two plans for shift and site workers, priced for people who work mostly from a phone.

PlanPer person, per monthWhat it is
Microsoft 365 F1
$4

Teams and the company intranet, for staff who do not sit at a desk.

Microsoft 365 F3
$13

Adds an editable set of web and mobile Office apps and a mailbox.

These sit beside the business plans rather than below them. A different set of people, not a cheaper version of the same plan.

Add-ons, bought on their own

Each of these can be added to a plan that does not already include it.

Add-onPer person, per monthWhat it does
Defender for Office 365 Plan 1
$3

Attachment and link scanning on top of the standard filtering.

Defender for Business
$4

Endpoint protection for the computers themselves.

Microsoft Entra ID P1
$9

Conditional access – rules about who can sign in, from where.

Microsoft Intune Plan 1
$10

Central control of the devices that hold company data.

Microsoft Entra ID P2
$13

Adds risk-based sign-in policy and access reviews.

Microsoft Intune Plan 2
$5

Tunnel for mobile app management, specialty and shared device management, and firmware-over-the-air updates.

Needs Intune Plan 1 alongside it. Together that is $15 a seat.

Microsoft Intune Suite
$13

Plan 2 plus endpoint privilege management, Cloud PKI, enterprise app management, Remote Help and advanced analytics.

Needs Intune Plan 1 alongside it. Together that is $23 a seat.

Teams Phone Standard
$13

The phone system on its own, for a customer who already has a carrier.

Teams Phone Standard buys the phone system — voicemail, forwarding, auto attendants, call queues — but not a line to the outside world. External calls need a PSTN connectivity option bought alongside it, and every such option still requires this license as well.

Teams Phone with Calling Plan
$22

A working phone: the system, a phone number, and 3,000 outbound domestic minutes a month.

Entra ID P2, Intune Plan 2, Intune Suite, Teams Phone Standard and Teams Phone with Calling Plan are the only ones here that are not already part of Business Premium.

Four of these are already in Business Premium

Defender for Business, Defender for Office 365 Plan 1, Intune Plan 1 and Entra ID P1 each sell on their own. All four are also part of Business Premium.

Added to Business Standard at the prices above, the four come to $44 a seat. Business Premium is $28.

One pair at a time

The four decisions people actually face. Each page turns on a single question, with the two plans and their prices beside it.

Does the company need to control the computers and phones themselves, or only the accounts?

Does anyone need Word, Excel and Outlook installed on the computer, rather than in a browser tab?

How much mail has to be kept, and for how long?

Does this person need a mailbox of their own?

What each plan includes

The business plans against every capability, with the frontline pair below them. A dash means the capability is not part of that plan.

What these terms mean

Some are rows in the table above. The others are bought on top of a plan rather than being part of one.

Requiring a second factor, or blocking a sign-in from an unexpected place or an unmanaged device.

Wiping a lost laptop, requiring a PIN, enforcing encryption.

Catching something that runs on a laptop, rather than something that arrives by mail.

Labeling the files that matter and stopping them leaving by mail.

The phone system inside Teams: numbers, voicemail, forwarding and call queues.

Microsoft’s assistant working inside Word, Excel, Outlook and Teams.

A Windows desktop that runs in the cloud and opens on whatever device is to hand.

Common questions

What is the difference between Business Standard and Business Premium?

Business Premium is Business Standard plus device management and the security components: Defender for Business, Defender for Office 365 Plan 1, Intune Plan 1 and Entra ID P1. It also carries Windows 11 Pro upgrade rights.

What is the difference between Business Basic and Business Standard?

Business Standard adds Word, Excel and Outlook installed on the computer, and the webinar and meeting-recording features. Business Basic keeps those apps in the browser.

Can one company use more than one plan?

Yes. Licenses are assigned per person, so a bookkeeper on Business Premium and a warehouse team on F1 sit in the same tenant.

What happens above 300 people?

The business plans stop at 300. Above that the enterprise range takes over. The frontline plans carry no cap.

Is Copilot included in any of these?

None of the plans include it; Copilot is bought on top. Business Standard and Business Premium each have a version with Copilot, at $30 and $40 a seat.
